Setting It Up, Step by Step
It looks overwhelming in Zapier at first โ but broken down it's simple. You can test every single stage as you go.
Duplicate the Google Sheet
Make a copy of the sheet template and keep the exact same columns. Name your copy after the client so each client has their own sheet.
Open the Zap template
Load the Zap template in Zapier. Don't panic at the number of steps โ you only touch a few of them.
Trigger โ connect the call tool
The first step is the trigger. Choose the client's call recorder (Zoom, Fathom, etc.), pick the event (e.g. New Audio Transcript), connect the client's account, then Test to pull a real example.
Filter 1 โ only sales reps' calls
By default every recording passes through. Add a filter so only sales reps are analysed โ e.g. Host email contains [rep name]. Use AND / OR rules to include multiple reps (e.g. Cayman OR Ryan).
Not essential for a one-person team, but critical anywhere media buyers or other staff also take calls.
Filter 2 โ exclude non-sales calls
Same idea, but by meeting topic โ because a rep who takes sales calls might also take client calls. Example: Meeting Topic does not contain "partnership review", so client review calls are skipped. Retest to confirm it would (or wouldn't) continue.
ChatGPT โ paste the prompt & map fields
Paste the plug-and-play prompt into the ChatGPT step and fill in your details. Then map the dynamic fields: scroll to the top, hit the + button, open the trigger step and insert each value.

Stages 5โ10 โ don't touch
Leave these as-is. For context: each call is scored on Posture & Authority, Diagnostics/Discovery, Offer Frame & Value, Objection Handling, Close Execution and Strategic Next Steps. A small code step pulls each score into the right cell (Zapier can't do that alone).
Slack summary (optional)
Want a summary in Slack after each call? Pick the workspace and channel (a dedicated channel is best, not your main one). Customise the message โ rep scores only, or the full breakdown by inserting the ChatGPT step's reply. Don't want it? Just delete this step.
Google Sheets โ send the row
Select your duplicated, client-named spreadsheet and worksheet (connect your Google account if prompted โ a couple of clicks). Map the user data, leave the pre-filled fields blank (already done for you), then Test. The scores land in the right cells automatically.
Using a different tool? (e.g. Fathom)
Change the trigger app (e.g. to Fathom), reconnect the account and pick the trigger (e.g. team meeting). Then re-map the dynamic fields (username, meeting title, start time, recording, transcript) in the ChatGPT step.
Turn the data into marketing
Once a week or month, export the sheet and drop it into Claude or ChatGPT. Ask it to break down the common objections, surface new angles, and give feedback on the client's overall strategy โ deeper than any single call could.
